1. What Whose Room Provides
Whose Room is a free-to-use room and calendar booking service for teams that share buildings and rooms. The service helps users view availability, create bookings, manage team access, and keep historical booking records.
The service is provided for coordination and convenience only. It does not guarantee physical access to any building, room, event, facility, or timeslot.
2. Accounts And Eligibility
You must provide accurate account information and keep your login details secure. You are responsible for activity performed through your account.
You must not create accounts, teams, buildings, rooms, bookings, or other records for unlawful, abusive, misleading, or disruptive purposes.
3. Team And Building Responsibilities
Building owners, TeamAdmins, and users are responsible for checking that booking details are correct and that any real-world access, safety, insurance, safeguarding, keys, permissions, and facility rules are handled outside the service where required.
TeamAdmins are responsible for inviting appropriate users, managing team membership, and respecting contact visibility choices made by users and teams.
4. Privacy And Contact Visibility
The service is designed so building, calendar, booking, team, and user data is not public. Users may see information only where their account, team membership, calendar access, or SystemAdmin role permits it.
Your name may be visible to users in your own teams. Your email address and mobile number are shown only when your own settings and the relevant team settings allow it.
5. Acceptable Use
You must not misuse the service, attempt unauthorized access, interfere with availability, scrape private data, upload malicious content, impersonate others, or use the service to harass, spam, threaten, or discriminate against anyone.
We may suspend or remove access where we reasonably believe these terms, system integrity, privacy, or other users are at risk.
6. Images And Uploaded Content
Where the service permits you to upload images, such as team icons or building and room images, those images must not be illegal, offensive, defamatory, hateful, or in breach of any third party's copyright, trademark, or other intellectual property rights.
We may remove any image that we reasonably consider to be in breach of these requirements, without notice. Repeated or serious abuse may result in suspension or permanent termination of your account.
7. Free Service And Advertising
The service is currently free of charge to use.
We do not currently provide paid subscriptions, billing, or payment processing through the service.
8. Availability, Accuracy, And Changes
The service is provided on an as-is and as-available basis. We do not promise uninterrupted access, error-free operation, data export availability, or that booking information will always be complete, current, or accurate.
We may change, suspend, or discontinue parts of the service, and may update these terms when needed.
9. No Warranty
To the fullest extent permitted by law, Whose Room is provided without warranties of any kind, whether express or implied, including fitness for a particular purpose, availability, accuracy, security, or non-infringement.
10. Limitation Of Liability
To the fullest extent permitted by law, we are not liable for indirect, incidental, consequential, special, punitive, or business losses, loss of data, loss of access, booking conflicts, facility disputes, or reliance on information in the service.
Nothing in these terms excludes liability that cannot legally be excluded.
11. Account Deletion
You may request account deletion from your account settings. Deletion anonymizes your user row and removes personal identifiers while preserving system history needed for bookings, audits, and operational stability.
